When an employee is no longer active, you can decide to archive their data, or wait for the system to archive them automatically.

What you should know

To archive an employee's data in ABS means to freeze the data without deleting it. The system automatically archives an employee's data under the following conditions:
  • Training is not completed 60 days after all security checks are completed.
  • Nothing happens 30 days after the last badge is revoked.
You can also choose to archive an employee's data before the system does so automatically. When you do this, the DAC is also notified if you are with AAAE.
NOTE: Archiving an employee's data is an irreversible operation. It is usually done when an employee's badge application is dropped or no longer works at the airport. If the employee returns to work at the airport, you must recreate the employee.

Procedure

  1. From the Airport badging management task, select the applicant's name from the list of companies and employees.
    To search for an employee, click at the bottom of the list and use the Search dialog box.
  2. Click the Security checks tab.

  3. Click Archive.
    The Archive dialog box opens. The following screen capture is for AAAE. Telos ID does not require a reason.

  4. Select the archiving Action.
    Archive
    Archives the employee's data in Security Center. All employee's data becomes read-only.
    Delete
    All employee's data are deleted from Security Center.
  5. Select the archiving Reason, and click OK.

Results

To delete the employee's data after you archived it, select the employee from the employee list and click Delete ().
