When visitors are checked out, they are archived, and no longer appear in the visitor
list in the Visitor management task. To ensure the privacy of these
visitors, you can manually delete them when their personal data is no longer needed.
Before you begin
Ensure you have the
Delete archived visitors privilege.
What you should know
Archived visitors remain available for investigation reports. The visitors' information
is saved in the database, and can be used if the visitors return.
Procedure

From the homepage, open the Visitor management task, and then
click Delete archived visitors (
).
The
Visitors dialog box opens listing the archived visitors
in the system.
NOTE: Only the first 500 results are shown.

If the visitor list is long, filter the list in one of the following ways:
- Enter the visitor’s first name or last name.
- Select the visitor’s host from the list.
- Turn on the option for the visitor’s check-in, expiration, or expected arrival
date, and then enter a date.
- Turn on the Escort required option, and then select
Yes or No.
- Click Custom fields. In the Custom fields
filter dialog box that opens, click Add field, and
then select a visitor custom field. Enter a value for that custom field, and then click
OK.

Click Search.

From the visitor list, select the visitor you want to delete.
NOTE: You can delete multiple visitors at the same time by holding down the shift key and
selecting the visitors you want to delete.

Click Delete.
A dialog box opens asking you to confirm the deletion.

Click Delete.
Results
The archived visitor is deleted from the database. The next time you log in to Security
Desk, the information pertaining to the deleted archived visitor is displayed as
Unavailable information when generating reports.
