To simplify having a report generated and distributed by email, you can create a
manual action.
Before you begin
Save the task used to generate and export the report as a
public task. It should include the query filters that you want
applied, and the report columns you want to include. For more information, see
Saving tasks in Security Center.
What you should know
- The settings for action-generated reports must be configured on the
Properties page of the Report Manager role. This
includes the maximum number of results that can be saved and the destination
folder for saved reports. For more information, see Report Manager configuration tabs.
- There’s no limit for CSV format. For more information, see About the maximum number of report results.
- You need the Single user print/export privilege to perform this
operation.
Procedure

In Security Desk, click Hot actions (
).

In the Hot actions dialog box, click Manual
action.

In the Configure an action dialog box, click the
Action list and select Email a
report.

From the Report list, select the report that
was saved as a public task.

From the Recipients list, choose the entity type that
you want to distribute the report to:
- All entity types
- Cardholders
- Users

Select the individuals or groups that you want to distribute the report
to.

In the External recipients field, enter the email
addresses of recipients who are not users or cardholders.

From the Export format list, select Excel,
CSV, or PDF.
Limitation: If the report contains images and the selected format
is CSV, the individual image files, which are stored outside the CSV file,
are not attached to the email.

(Optional) Click Edit email and create the email
template for distributing the report.

From the Priority list, select the priority of the
report distribution email.

Click OK.
Results
The report is emailed to the selected recipients.
